Emails located in the @hcpss.org mail system containing the keyword “mold” from school-based notification accounts during the 2017 and 2018 school years. Please note, this may not be reflective of all notifications sent during the timeframe requested, but rather those currently existing within our @hcpss.org mail system. Notifications sent to parents/staff/the community are distributed through a mass-messaging system that does not contain a key-word search function. As hundreds of emails are sent through this system per school each year, additional review would be required to locate responsive records in that manner. Per our explanation that notifications sent to parents/staff/the community are distributed through a mass-messaging system that does not contain a keyword search function, and after narrowing this request to notifications sent between June 1, 2018, to September 1, 2018, a report of all completed notifications indicates there were 1,973 messages distributed across the system during that timeframe. This report also pulls subject line for each message, from which we were able to identify the five emails included here with the keyword “mold” in the subject. This may not again be reflective however of all notifications regarding mold where such content is not indicated in the subject line. Additional review would be needed to locate individual messages containing notifications to parents regarding mold.
